3. How to write a proposal and apply for a project?

To apply for a photon science research project at DESY please:

A. prepare your proposal document in pdf-format for upload in DESY Online Office for Research with photons: DOOR
B. fill in the DOOR Project Application Form and attach your proposals (as pdf-file)

Layout and length of your proposal:

The proposal language is English, you may use your own page layout and table or figure design, but please respect the restrictions of space and specification of the contents to facilitate the work of the referees.

Please note that because DORIS III will be shut down end of 2012, only category I proposals will be accepted. Category II proposals for PETRA III will be made available in future calls.

The expected length of short term proposals (1 year term DORIS III or PETRA III: Cat. I) are 3-4 pages and 5-6 pages for long term proposals (2 years term: Cat. II) incl. figures. The validity of FLASH proposals depend on the actual FLASH operating schedule (typically between 9 month and 24 month).

Contents of your proposals (6 topics):

a. the experimental method(s) including the proposed beamline, instrumental requirements, own equipment etc. b. any issues related to safety c. special technical difficulties (if applicable)

d. specification of the required properties of FLASH and - if needed - of the optical laser system (wavelength, pulse length, power, repetition rate etc.) e. possible start of the experiments f. planned experimental collaborations (e.g. use of the same sample chamber)
4. Description of the results expected and their scientific relevance	½ page	1 page

Preparation for upload in DOOR:

Please save your complete proposal (text including all figures) as a pdf-document. Once the pdf-file has been created, review it carefully by using a pdf-viewer to check for conversion errors before uploading it to DOOR
(Please note: the upload is limited to 6 pages, max. filesize is 4MB).

B. Fill in the DOOR Project Application Form and attach your proposal

Please fill in the general part of the proposal submission form. You can directly attach your proposal as a pdf-document in DOOR. The online submission must be completed before the deadline for project applications at HASYLAB/DESY.

If you have not completed the submission procedure, you can edit/complete/delete your entries. Once a proposal is submitted, it cannot be modified or deleted by you. In this case you should contact the users office.

Role of the project leader and proposer(s):

The project leader is responsible for the project including safety aspects and other personnel involved in the experiments at DESY. Therefore, the project leader is expected to be an experienced researcher like a "senior scientist" and should be employed at the institution proposing the experiment. However, only the proposer will receive all further correspondence resulting from the submission of a proposal. For this reason, we would recommend that the project leader should also be the proposer.

Once the proposal is accepted, all co-proposer(s) are eligible for beamtime application etc. within DOOR.
